Choosing your wedding venue is one of the biggest decisions you’ll make.
It influences your budget, styling, guest experience, photography, catering, logistics and even the overall atmosphere of your wedding.
So before you fall in love with a beautiful photograph online, here are the questions I recommend every couple asks.
Don’t simply ask whether the venue can accommodate your number of guests.
Ask whether it will feel right for your number.
A room designed for 250 guests may technically fit 80—but that doesn’t necessarily mean it will feel intimate and beautiful.
Having your ceremony and reception in the same venue can make your wedding significantly easier for guests.
But sometimes having two locations creates a much more memorable experience.
Think about which is more important to you.
This is particularly important for Sydney’s public and harbour locations.
Some venues may have members of the public nearby, while others offer complete exclusivity.
If privacy matters to you, ask exactly what exclusive hire means.
Never assume.
Ask about:
Understanding inclusions early makes comparing venues much easier.
Some premium venues work on minimum food and beverage spends.
Others have venue hire fees.
Some have both.
Make sure you understand the total financial commitment before comparing venues.
This can have a major impact on your wedding.
Ask about preferred supplier lists and whether external suppliers are permitted.
This is something couples often overlook.
Your stylist and florist need time to install your wedding.
Your entertainment team needs access.
Your planner needs to coordinate everyone.
If the venue only allows a short bump-in window, this can affect your styling and production costs.
If you’re considering an outdoor ceremony, ask:
And don’t accept “we’ll work it out on the day.”
A proper wet-weather plan should be discussed before you book.
Ask your photographer to think creatively about this.
You want to know where you can take:
Ask about:
Think about elderly guests, interstate guests and overseas guests.
Is there parking?
Is public transport nearby?
Will guests need taxis?
Is there a steep walk?
Are there stairs?
These things matter.
Finally, forget the spreadsheets for a moment.
Stand in the room.
Close your eyes.
Imagine your ceremony.
Your entrance.
Your first dance.
Your parents sitting at their table.
Your friends laughing.
Your guests walking into the reception.
And ask yourself:
That’s the feeling you’re looking for.
It’s the venue that supports the wedding experience you want to create.
As a wedding planner, one of my favourite parts of the planning process is helping couples discover venues they may never have considered—and then working out exactly how we can transform them into something uniquely theirs.
